PhillyMedClub PLLC operates this website. This policy explains what information we collect through the website, how we use it, and the choices you have.
This policy covers the website only. It is not our Notice of Privacy Practices. Protected health information you share with us as a patient — during a visit, in your chart, or through the patient portal — is governed by a separate Notice of Privacy Practices under HIPAA, which is provided to you at your first visit and available on request. If you are looking for how we handle your medical record, that is the document you want, not this one.
Information you give us
If you contact us through the website, we collect what you enter — typically your name, email address, phone number and the content of your message. We use it to respond to you.
Please do not send detailed medical information through a website form or by email. Neither is a secure channel. If you need to discuss a medical concern, call us at 215-770-1830 or raise it at your appointment.
Appointment booking runs through Boulevard, a third-party scheduling platform. When you book, you are entering information into Boulevard's system, and their privacy policy governs that data. We access it as their customer. We do not control how Boulevard operates its platform.
Information collected automatically
We use Google Analytics to understand how people use the site — which pages are viewed, how long visits last, where visitors arrive from, and which buttons are clicked. Specifically, we record page views, scroll depth, time on page, clicks on phone and email links, clicks on booking buttons, and contact form submissions.
This tells us that a visitor clicked a booking button. It does not tell us who you are, and we do not attempt to identify you from it. Google Analytics sets cookies and processes a truncated version of your IP address, acting as our data processor.
Our hosting and network providers log standard technical information — IP address, browser type, device type and time of request — for security, abuse prevention and reliability.
What we do not do
We do not run advertising or social media tracking pixels on this site. There is no Meta or Facebook pixel, no TikTok pixel, no LinkedIn or Bing advertising tag, and no session-recording or heat-mapping software. We do not sell your personal information, and we do not share it with advertising networks.
Cookies
Cookies are small files stored by your browser. This site uses essential cookies required for the site to function, and analytics cookies as described above.
You can block or delete cookies in your browser settings, and you can opt out of Google Analytics using Google's browser opt-out add-on. Blocking analytics cookies will not affect your ability to use the site or book an appointment. We honor Global Privacy Control signals where our systems support them.
How we use information
To respond to inquiries and schedule appointments; to provide and coordinate care; to improve the website and understand which content is useful; to send appointment reminders and confirmations where you have asked for them; and to meet legal, regulatory and professional obligations.
We do not use website analytics data to make decisions about your care.
Text messages and email
If you provide a mobile number, you may receive automated text messages about your care with us — appointment reminders, confirmations and communication with the office. We do not send marketing text messages. Message frequency varies, and message and data rates may apply. Reply STOP to opt out at any time, or reply HELP for assistance. Email we send you includes an unsubscribe link. Unsubscribing stops marketing email but does not stop appointment-related messages you have asked for, such as reminders and confirmations.
Who we share information with
We share information only with service providers who operate parts of our business under contract — scheduling, hosting, analytics, payment processing and patient financing. Where a vendor handles protected health information on our behalf, we have a Business Associate Agreement in place as HIPAA requires.
Patient financing through Cherry is an agreement between you and Cherry, governed by their privacy policy. We also disclose information when the law requires it, or to protect the safety of a person.
We do not sell personal information. We do not share it for cross-context behavioral advertising.
Third-party links
This site links to external services including Boulevard, Cherry, Google and our social media accounts. Once you leave our site, their policies apply, not ours.
Your choices
You may ask what personal information we hold about you, ask us to correct inaccurate information, ask us to delete information subject to the record-retention rules that apply to medical practices, opt out of marketing communications, or block analytics cookies as described above.
Depending on where you live, you may have additional statutory rights. Contact us at info@phillymedclub.com and we will respond as the law requires. Requests about your medical record follow the process in our Notice of Privacy Practices, which has its own timelines under HIPAA.
Retention
We keep website inquiry data as long as needed to respond and for a reasonable period afterward. Medical records are retained under Pennsylvania law and professional requirements, which are separate from and longer than website data retention.
Security
We use reasonable administrative, technical and physical safeguards to protect information. No website or transmission method is completely secure, and we cannot guarantee absolute security — which is why we ask you not to send detailed medical information through website forms or email.
Children
This site is intended for adults. We do not knowingly collect personal information online from children under 13. If you believe a child has provided information through this website, contact us and we will delete it. Minors treated at the practice are cared for under the consent and confidentiality rules that apply to medical care, which are addressed in our Notice of Privacy Practices.
Changes
We may update this policy. The date at the top of this page will change, and material changes will be flagged here. Continued use of the site after an update means you accept the revised policy.
